4. How We Use Your Data

We use your personal data to: • Create and manage your SolanFM account. • Deliver the facilities management features you request. • Process work orders, assets, buildings, and related operational data. • Send service notifications (e.g., work order assignments, system alerts). • Provide technical support and respond to your enquiries. • Detect, prevent, and investigate fraud or security incidents. • Improve our platform through aggregated, anonymised analytics. • Comply with legal and regulatory obligations.

5. Data Sharing and Recipients

We do not sell your personal data. We share it only with: • Sub-processors who provide infrastructure services: cloud hosting (for database and application hosting), email delivery, and error monitoring. Each sub-processor is bound by a data processing agreement compliant with UK/EU GDPR. • Integration providers you connect (e.g., Xero, HubSpot, Twilio) — only when you explicitly configure an integration. We transmit data to these providers on your behalf; their privacy policies govern the data once received. • Law enforcement or regulatory authorities, where required by law. 6. International Data Transfers

Your personal data is primarily processed and stored within the United Kingdom and the European Economic Area. No transfer occurs without a legal transfer mechanism in place.

7. Data Retention

We retain your personal data only for as long as necessary: • Account data: retained for the duration of your SolanFM subscription, then deleted or anonymised within 90 days of account closure. • Billing and tax records: retained for 6 years from the end of the financial year, as required by UK tax law. • Security logs and audit trails: retained for 12 months. • Marketing data (where you consented): retained until you withdraw consent or 24 months of inactivity, whichever is sooner. • Integration credentials: deleted immediately when you remove the integration.

8. Your Rights

No system is 100% secure. We continuously review and improve our security posture.
